The Hidden Cost of Missed Property Calls

Property managers field some of the highest call volumes in real estate. During peak season (new leases, maintenance surges, renewals) a single PM can take 40 to 60 resident calls a day. Half of those go to voicemail or a hold queue, and most are never returned fast enough. That costs money, creates risk on the maintenance side, and burns out your best people.

Why voicemail makes it worse

Residents who reach voicemail rarely leave a message, especially for anything they judge non-urgent. But "non-urgent" compounds. A small plumbing issue becomes a flood. A rent question becomes a dispute. A lease question becomes a break-lease. And an unlogged repair request is the worst of the set, because there is no record that anybody was ever told.

The problem is not that your team ignores residents. It is that the call arrived when nobody was there and nothing captured it.

What to look for in a PM answering service

Structured capture in the vendor's own dashboard. Your team needs to see every resident call, every maintenance ticket and every outcome in one place, without re-typing anything out of a transcript. Avoid platforms that only deliver email message blobs.

Predictable billing. Per-minute pricing punishes you during peak season, which is exactly when you need coverage most. Look for a model that does not spike with volume.

Unlimited concurrent calls. When ten residents call at the same time about the same power outage, queueing is not acceptable. Your front desk needs to answer every one of them in parallel.

Real integration with your PMS or CRM. If the outcome of a call does not land in the system your team already works in, someone is doing manual data entry and the calls will fall behind again.
